Benefits of Integrating Field Service Software With Your Accounting System

June 12, 2018 | Laura Brown

No matter what type of business you’re running, you have some type of accounting or financial system in place.  Maybe you also have field service software in place. Both of these systems can be effective on their own, but integrating them makes them even more powerful.  Whether you’re using QuickBooks, Sage, SAP, or another system, there are some significant benefits to integrating with your field service software:

Eliminates Double Entry

Integrating your accounting software with your field service software will eliminate a lot of double entry.  Most companies collect information in the field that is stored in their field service software, but how does that information get into the financial system?  Someone has to enter it. According to a study by The Service Council, 46% of field technicians said paperwork and administrative tasks were the worst part of their day (source).  If you integrate the two systems, you can eliminate the need to enter the information in both systems.

Speeds Up Cash Flow

Another benefit to integrating with your accounting software is being able to invoice quickly and easily.  Many businesses struggle with invoicing delays for a number of reasons. Instead of relying on a person to input information from papers or another system, an integration gives you the ability to automatically invoice your customers when work is completed and approved.  This not only makes it easier for your employees, but also delights your customers. As a customer, there is nothing worse than being billed for a service you had six months ago because the company lost track of the work that was performed.

Financial Reporting

What part of your business is the most profitable?  Repairs? Preventative maintenance contracts? How do you know?  Financial reporting is a crucial aspect of running a successful business.  The more information, the better! When you have your accounting system integrated with your field service software, the two systems can work together to give accurate and timely financial reporting of your day-to-day operations.

Custom Invoicing Options

Integrating your systems can provide more options than if you used each system individually, or your accounting system alone.  The field service software should give your company the ability to design how you want your invoices to look. You can send invoices to your customers automatically when jobs are completed, when jobs are approved, or manually.  These invoices can include any information you want your customers to see: custom fields, logos, contact info, pricing, and signatures. The integration should give your company the ability to decide the speed at which you want your invoices to be sent out whether it’s in real-time, once per day, once per week, etc.

Improved Accuracy

94% of organizations suspect their customer and prospect data is inaccurate (source), making this arguably the most important aspect of the system integration.  Do you have duplicates in your financial system? Wrong contact information? Inaccurate job history reports?  By integrating your accounting software with the field service system, you reduce the amount of data you need to enter and also reduce the risk of having inaccuracies or duplicates.

Not only will an integration reduce the amount of paper your company requires to operate, but it will also save you a great deal of time.  An integration allows your company to conduct business more efficiently.
